  1. First Time User Checklist

What To Do When You Successfully Login:

    1. Update Client Information (Allows you to quickly adjust client names - Highly Recommended)

      1. Click the "Edit Names" link located in the Administrative section.

      2. A list of the first 50 Clients will display. The list contains open text boxes for Client's First Name, Middle Initial, and Last Name - pre-populated with the scrubbed client names we retrieve from the source. Also included for each Client (defined as social security number or tax id) will be reference information that may include Client Name, Address, Client ID and other relevant information.

      3. Update the client name if necessary. Using the "Tab" key, the client list can be updated swiftly.

      4. Clicking on "Submit" button will update and refresh your Client Information.

Selecting "Info" link of a specific client at the Client List screen allows you to adjust a client's personal information at the Client Info screen.

      [ << ]     [ Table of Contents ]     [ Close Window ]

    2. Update Account Names (Allows you to add more "client friendly" account name - Optional)

      1. At the Client List screen, select "Accts" link next to a client's name.

      2. Select "Edit Accounts" link located next to the "Core Account List".

      3. Enter an account name for each account under that client (280 Character Maximum). Examples include "Marcy's Retirement Account" or "Fred Smith 401K plan".

      4. Click on "Submit" button when finished.

You can toggle between the selected client's account list and the report screen to investigate the holdings of the account using the "Reports" link at the top of the "Accounts (Accts)" screen. This will allow you to provide a more accurate name for each account.

      [ << ]     [ Table of Contents ]     [ Close Window ]

Update Account Type (Allows you to edit the Account Type for an account)

      1. At the "Client List" screen, select "Accts" link next to a Client's name.

      2. Select "Edit Accounts" link located next to the "Core Account List".

      3. Select the appropriate account type from the "Acct Type" drop down menu for each account.

      4. Click on "Submit" button when finished.

You can "Update Account Names" and "Account Type" at the same time.

      [ << ]     [ Table of Contents ]     [ Close Window ]

    3. Create Client Portfolios

To provide additional consolidation of your data, you can choose to group your clients into meaningful portfolios/households. (Please note for your clients that use Custodians such as DLJ, First Trust, etc., their assets will not appear under their individual client name so it would be beneficial to create a portfolio. If you do business with trusts, you must check the "Some Accts" button for those trust client records to then be able to select your individual client accounts into the new portfolio.)

      1. Click on the "New Portfolio" link to follow the steps listed.

      2. [ << ]     [ Table of Contents ]     [ Close Window ]

    4. Check Client Accounts For Missing Product Companies

There are two ways to check client accounts for missing product companies:

      1. Locate one client with each product company you have done business with from the "Client List". Select the "Reports" link.

        1. Select "Holdings by Investor" report from the report drop down menu.

        2. Locate at least one account for each Product Company and brokerage firm with which you have a business relationship and identify any missing Product Companies.

        3. If a Product Company is missing (you cannot find the client), you may order the missing accounts through your Broker/Dealer or if available online through the "Order Missing Data" from the "Data Tools" in "Administration".

        4. You can use the "Account Search" and the "Client Search" to find one account per Product Company. Use this if you would like to search by account number rather than by client.

      2. Click on "Advisor Reports". Then select the report " Product Companies By Assets Under Management" and click "Go". Review the report results to see if any product companies you have done business with are missing from the list.

For any Variable Annuity companies or Variable Universal Life companies not listed:

        1. Find your Agent ID for that product company by looking on a recent statement or contacting them directly.

        2. Click on "Administration" and select the "Data Tools" option. Select the "Map VA/VUL Agent ID" tab and check if your Agent ID is listed. If not, insert your Agent ID along with one sample client account and Client ID and click "Submit". All your VA/VUL accounts in our database will be assigned to you.

        3. If this is unsuccessful, try the Order Missing Data function.

      [ << ]     [ Table of Contents ]     [ Close Window ]

    5. Assign Your Orphaned Accounts

On rare occasions, product companies will send an incorrect Client ID for an account. This feature allows you to fix any of these errors if we can identify them upfront.

      1. Click on "Administration" and select the "Data Tools" option. Select the tab "Assign Orphaned Acct" and, for any accounts listed, add the correct Client ID and click Submit. If there are no accounts listed in this tab, proceed to Order Missing Data.

      [ << ]     [ Table of Contents ]     [ Close Window ]

    6. Order Missing Data

A few product companies require your permission to release your client account data to us so we can report on it. This feature allows you to give your permission electronically to the product company via DST Fanmail and request that your client account information be sent to us.

      1. Click on "Administration" and select the "Data Tools" option. Select the tab "Order Missing Data", check all applicable product companies from the displayed list and click "Next". Provide a sample client's name and account number for the listed product companies and click "Submit".

      [ << ]     [ Table of Contents ]     [ Close Window ]

  2. Using The System

Following best practices for security, all client social security numbers (SSNs) will display the last four digits only (ex. XXX-XX-1234) wherever the SSN is displayed within the wealth management platform. Full SSNs may still be queried throughout for client searches and entered for those users of the Data Convertor (formerly TransPro) users.

    1. My Info allows you to manage personal information that displays on the clients' reports and statement.

      1. Password

        1. Change Password requires you to enter the "Old" and "New" password.

        2. You must reenter the "New Password" for verification.

        3. Once changes are made, remember to click on "Submit" at the bottom of the page to save any changes.

If you do NOT see the "Change Password" link, you must contact your Home Office for password changes.

      2. Business Info

        1. Doing Business As (DBA)

Submit your business name, as you want it to display on your site, the client's site, reports, and the disclosure language.

Answer this question: Is your DBA name the same as the financial institution name? If you answer NO - the system will display both your Business name and Financial Institution name as part of the disclosure language. If you answer YES - the system will only display your Business name (the Financial Institution name) once in the disclosure language.

Some of these functionalities may NOT apply to your version.

        2. RIA or IAR name

Enter the RIA or IAR name, as you want to display it on your site, the client's site, the reports, and the disclosure language.

Answer this question: Are you acting as an independent RIA or IAR under your B/D? If you answer RIA - the system will include your RIA name as part of the disclosure language. If you answer IAR - the system will include your IAR name as part of the disclosure language. If you leave the answer blank - the system will NOT display either your RIA or IAR name throughout the site.

If you have entered both Doing Business As and RIA or IAR options, you will have both descriptions inserted in the disclosure language. However, if you keep DBA and RIA or IAR section blank, only the Financial Institution name will be included in the disclosure language.

RIA or IAR name functionality may NOT apply to you.

        3. Once changes are made, remember to click on "Submit" at the bottom of the screen to save any changes.

If you do NOT have the ability to change your personal information, you must contact your Home office to update any changes.

    2. Activate New Clients (Allows you to distribute secure client access)

      1. You may direct your clients to sign up through the same web site through which you obtain access or allow them to access the system through your own web site.

      2. You may link the URL to your web site and instruct your clients to click on the "Registration" button to register.

      3. You must give the Investor your "Client Temporary Password/Authorization" (it is located in the "My Info" portion of the site, if you misplace it).

      4. When your client accesses the web site, they may select the "Registration" button.

      5. The following screen will prompt the Investors to enter their Social Security Number and the Client Temp Password/Authorization as per item (c) above.

The Temporary Password is encrypted and will not display. By selecting "Next", the system will validate the Investor's authorization to register.

      6. Registration:

        1. "Registration Process: Step 1 of 3" screen - The User Agreement will appear. Investor should read and "Accept" the Agreement.

        2. If the Investor selects "Decline", a dialog box will appear with a message notifying the Investor that "unfortunately we cannot grant you access until you have accepted the User Agreement."

        3. When the Investor selects the "Accept" button, the Investor will be prompted to the "Registration Process: Step 2 of 3" screen. In this screen, the Investor must enter all required information. Fields marked with a red * are required fields and must be entered before selecting the "Next" button.

        4. Error situations:

          • Investor cannot enter duplicate User Names (i.e., Names used by other Investors within the Broker/Dealer).

          • Investor must enter the Password twice to verify the password.

What Investor should do if error occurs?

          • Make sure all fields are filled in.

          • Make sure e-mail address is entered correctly (do not use spaces).

        5. The "Registration Process: Step 3 of 3" screen will display a Registration Confirmation message to the investor. The Investor should select the "OK" button to indicate Investor is now ready for Advisor to Approve the Registration.

      7. Upon completing the Registration Process the Investor's Registration Notification e-mail shall be sent immediately to you, the advisor, notifying you that the Investor has successfully registered and requires your approval.

      8. Upon receipt of the e-mail, you are required to go into your "Client List" to approve the Investor.

      9. The client will sort to the top of your client list. Select the "Approve" link to the right of your Investor's name to approve investor.

      10. Your approval of the Investor will automatically generate a "Consolidated Statement Approval Notification" e-mail to the Investor, confirming approval.

    3. Search/Sort Your Client List

There are five ways to search/sort the client list: "Client Search", "Alphabetically and Pagination", "Client Name", "ID" and "Status".

      1. There are two types of "Client Search": by "Name" or by "ID". You can enter two names at the same time for client "Name" search. It does not matter if you are using first name or last name. Do not forget to add a blank space between the two names when you do the search. Search by "ID" requires you to enter at least three numbers in the search field. If there is no client found, please double check your client info and search again.

      2. Alphabetic sort is located right above the "Client List". Selecting any letter of the alphabet will display a complete list of those clients whose last name starts with that letter.

      3. To sort by "Client Name", selecting the "Client Name" header with the inverted triangle at the top will sort clients' name" alphabetically in descending order.

      4. To sort by ID, selecting the "ID" header with the inverted triangle at the top will sort clients' "ID" in descending order.

      5. To sort by Status, selecting the "Status" header with the inverted triangle at the top will order the clients' status by "Active", "Inactive", or "New".

Follow the Pagination link located right below the client list if the search/sort list is longer then one Page.

    5. Client Info

      1. At the Client List screen, select the "Info" link adjacent to that client's name. This will bring you to the Client Info screen. The client's name and address should be pre-populated.

      2. Validate each piece of your client's information. If information needs to be added or changed, do so as necessary (like adding phone numbers and e-mails) and hit "Submit" to accept.

      3. You may use the client reference account information on the right hand side of the screen to help validate the information.

If the system receives updated client information from the custodian, it will automatically update the client information. However, once you edit the client's first name or last name, the automated update process will NOT over-write your work.

    6. Accts allows you to manage clients' accounts and portfolios of a client.

At the Client List screen, select the "Accts" link adjacent to the Info link.

      1. Portfolio List

Portfolio List displays a list of portfolios the client belongs to. You have the option to View, Edit or Delete any of the existing portfolios. (If a client creates a portfolio for himself or herself - you will only have the "View" option available next to that portfolio.)

When you select the "View" link it will display a list of that portfolio's Account Name(s) and Account Number(s).

      2. Core Account List

You will also be able to view the Core Account List directly below the Portfolio List. It lists Acct Name, Acct No, Legal Name, Acct Type and Int Type for accounts that are being downloaded nightly from the interfaces.

        1. Edit Accounts allows you to insert a client-friendly "Account Name", modify the "Account Type", view/edit the "Tax Status", and adjust "Acct Viewable" status. The maximum length of an account name is 280 characters. You can insert the following special characters as part of the account name if applicable: ,/ - & ( ) # ' : ; %. You can update the client's account type by clicking on the drop-down menu.

          • Acct Viewable allows you to change the account viewable status from "Viewable" to "Closed" or "Suppressed". Please be aware that Closed accounts will be included in reports if the Closed account had open positions on the report date used to run the report. A Suppressed Account will be completely removed from all portfolios and reports.

Click on "Submit" to update any change(s). An account's viewable status that has been modified from "Viewable" to "Closed" or "Suppressed" status will immediately move into the "Non-Displayed Account List". The change(s) will take affect immediately for all the related portfolios and reports.

Please allow a 24-hour processing period before the updated account status is reflected in the client's portfolio(s) and report(s).

You may or may not have the "Suppressed" option available, based on your privilege level.

          • Tax Status refers to the taxability of the account. Based on your privilege level you may be able to edit the existing selection. There are four categories:

            • Non Qualified contains accounts such as Joint, Individual, Custodial, Corporate, Estate, Annuity, etc.

            • Qualified contains accounts such as IRA, Pension, 401k, SEP, etc.

            • Non Qualified Retirement Plan contains accounts such as deferred comp, 403-B, SERP, etc.

            • Unknown contains accounts that cannot be classified properly based on the provided description.

          • "Int Type" refers to interface type. It indicates where the data delivered to our system came from, for example: DST, DAZL, Pershing, etc.

An account with an Int Type of 901 or above means the account was imported through the Data Convertor process. For more details about Data Convertor, go to Data Tools in Administration, select the Data Convertor tab (if the functionality is available to you), and then select Data Convertor "Help" for more information.

If the account's Int Type is smaller than 900, you can add historical assets to that account as long as the cumulative quantity equals zero on the account seam date (the first day we received Core Data from the custodian for that account).

        2. Historical Entry allows you to manually input transactions to update the initial positions of existing core data. This section is NOT available if the "Historical Entry" tab is missing. Click on the "Historical Entry" tab to enter the section. Then, click on the "Help" link at the upper banner to trigger a separate Help document for the Historical Entry process. Accessibility to Historical Entry is based on your privilege level. You may or may NOT have the Historical Entry link available.

        3. Edit Core Info link allows you to correct or adjust a client's core account transactions. This section is NOT available if the "Edit Core Info" tab is missing. Click on the "Edit Core Info" tab to enter the section. Then, click on the "Help" link at the upper banner to trigger a separate Help document for the Edit Core Info process. Access to Edit Core Info is based on your privilege level. You may or may NOT have the Edit Core Info link available.

      3. Balance Only Account List

The Balance Only Account List section is directly below the Core Account List. It lists Acct Name, Acct No, Legal Name, Acct Type and Int Type. There are no editing capabilities available for these accounts. Balance Only accounts are accounts that we do not receive transactions for. We only receive a position balance for the asset(s) held in the account from the Interface.

      4. Manual Account List

The Manual Account List section is directly below the Balance Only Account List. It lists Acct Name, Acct No, Acct Type and Author. "Create Manual Account" gives you the ability to manually enter accounts, assets and transactions. Manual Entry allows you to view your manually entered data that the system does not currently have the ability to aggregate due to assets that cannot be sent via data interface. You can "View", "Edit" or "Delete" Manual Accounts from this list.

Your Investor can only view the information that you manually create in these accounts. If the author of a manual account is other than you, you can only "View" the account info.

        1. Create Manual Account allows you to enter: Account Name, Account Number, Account type, and Cost Basis Accounting Method. Click "Submit" after entering data. The "Create Manual Asset" screen will display next.

        2. Select "What type of asset is this?" will be displayed. You must chose 1 of 2 buttons. The "Tracked" button will allow you to search for an asset that we currently price regularly in our system. The "Non-Tracked" button allows you to enter an asset that our system does not track.

        3. By selecting the "Tracked" button, you will arrive at "Search Tracked Asset" screen. This screen allows you to search for an asset by "Ticker" or "Asset Name" or "Asset ID".

        4. After selecting the "Search Method", you will see a display of the manual asset search results. If you see the asset you are trying to add, you can select it by clicking the asset name link. There is also an "Enter A Non-Tracked" Asset button at the bottom of the screen in case you cannot find the asset you are looking for during your search.

        5. Non-Tracked assets can be entered after selecting the "Non-Tracked" or "Enter Non-Tracked Asset" button. Either one of these buttons will lead you to the Enter A Non-Tracked Asset area in the "Create Manual Asset" screen. There are four fields: "Asset Name", "Asset Type", "Security Type" and "Investment Objective". The Asset Name cannot be left blank. You must enter an asset name in order to precede to the next step.

        6. "Manual Transaction" screen will display the Non-Tracked asset that you entered or the Tracked asset that you selected. Transactions can be added in the Add Transactions section of the screen. The first time you enter an asset the Transaction Type "1st Buy (Initial Position) will display and you must use this field to start. Enter the information in the open text fields that pertain to the transaction. The "Transaction Type" field will appear as Transaction Type/Price Update" for assets that display in the "Tracked" field header as "No". You can select the transaction type from a drop down list in the "Transaction Type" column. Five transactions can be entered on one screen.
See Transaction Type Proceed & Quantity Effect

        7. The "Submit" button will display the "Manual Transaction" screen with the asset that was selected, the Current Holding information section listing updated information that includes transactions you recently added, five new rows for transaction entry and a transaction history list with the option to delete any transactions that were previously entered. If any typographical errors are made, the asset or transaction must be deleted and re-entered.

        8. Advisor is responsible for adding stock split transaction adjustments to tracked manually entered assets. Create Manual Account functionality may or may NOT be available in your version.

      5. External Account List

The External Account List is directly below the Manual Account List. It lists Acct Name, Acct No, Legal Name, Acct Type and Int Type. There are no editing capabilities for these types of accounts. External Accounts are accounts that we receive from non-traditional data providers possibly in a different format such as Screen Scraping.

      6. Non-Displayed Account List

Select the Non-Displayed Account link to view the Non-Displayed Account List. Non-Displayed Account includes: Closed and Suppressed Accounts. A Closed Account, even though it is a Non-Displayed Account, will still be included in a report if the Closed account was "open" on the reported date or period. A Suppressed Account will be completely omitted from all reports. An account's viewable status will take affect immediately after submitting. An account status that has been modified to "Viewable" will be listed in the "Core Account List".

Please allow a 24-hour processing period before the updated account status reflected to client's portfolio(s) and report(s).

You may or may not have the "Suppressed" option available, based on your privilege level.

Global/Default will default the portfolio to your global Benchmark choice found in the Benchmark Report Setting, Administration area.

        1. If your version does not allow for this, this segment will be N/A.

        2. When "Standard" is selected, notice the lower segment of this portion is replaced by two drop down menus. This allows you to select up to two benchmarks for this Portfolio ONLY.

        3. When "Composite Benchmark" is selected, notice the lower segment of this portion has been replaced with one drop down menu. Any of the pre-existing Composite Benchmarks will be listed here. Select from one of Composite Benchmarks or keep it as none. If you do not see an appropriate composite benchmark, clicking on the Quick Link "Create Composite Benchmark" on the left side of this segment will take you to the Create Composite Benchmark screen in the Report Setting, Administration area.

      4. "Model Portfolio Rebalance" (Optional).

        1. If your version does not allow for this, this segment will be N/A.

        2. Select Model Portfolio Rebalance is optional. You can keep the drop down menu selection as none or select any of the pre-existing Model Portfolios.

        1. When selecting account(s) to be included in the New Portfolio, Advisors may click on the "All Accts" or "Some Accts" options from the Client list. A red check mark will appear on the radio button next to the selected Client. Clients are identified by Name and ID on multiple pages.

        2. If you select "All Accts" then every account under that social security number will be included in the new portfolio. No further actions are required. (Any accounts opened at a later date for that client will automatically be added to this portfolio)

        3. Selecting "Some Accts" will allow you to select particular accounts to be included. Clicking the next button will display a list of accounts to subsequently choose from. (Any accounts opened at a later date must be added to this portfolio if desired using the portfolio edit feature).

    8. If you select the "Show Selected" option at the bottom of the page, a pop up box will appear showing all clients that have been selected so far for that portfolio. You may also select the "Show All" option that displays a complete client list on the current page.

    9. Batch Jobs

The Batch Job is a PDF report that you select for your client's to receive by e-mail or as a print job that will be available for your retrieval. The print job gives you the ability to print all the clients' reports that you selected from the batch you created.

Batch Jobs run after the second weekend of the month to deliver month-end information. In the case of e-mail Batch Jobs, you have this window period (the first two weeks of the month) to preview the reports using the "View" links below. Batch Jobs will run automatically unless you delete or edit the job.

      To use the feature:

      1. In the Control Center select the Batch Jobs link.

        1. At the "Batch Jobs" screen, select "Create New Batch Job" from the upper left corner of your screen.

        2. Select the link and the screen will display the "Batch Job - Step 1 of 2" screens.

        3. To create a Batch Job you must enter a name of the job you are creating in the "1. Name the Batch Job" open text box.

        4. Choose the type of batch you want to create, "E-mail" or "Print".

        5. Select regularity and the time period of the reports from the menu selections. Your options are: "Last Month (runs monthly)", "Last Quarter (runs quarterly)", "Last Year (runs annually)", "Year to Date (runs monthly)", "Quarter to Date (runs monthly)", "Year to Date Latest Month End (runs monthly)" and "Quarter to Date Latest Month End (runs monthly)".

        6. "Select the Report Type" for this batch job.

        7. You can then "Select Clients" that you want to be included in this batch. There are various ways to select a client. You can do a search by the client's last name or Social Security Number. You can also go through the list and select the radio button to the left of each client. At the bottom of the screen, you have additional Page options to select clients from those pages as well. Use the "Show Selected" link at the bottom of the screen to view the selected client list. Select the "Show All" link to view the entire client list. You are allowed to include 25 clients per job. For additional clients, you must create a separate batch job for them.

        8. When creating a "Print Batch Job" you may select from both Private and Public Portfolios in the drop down menu. Only Public Portfolios are available when creating an "E-mail Batch Job.

      2. On the "Batch Job - e-mail Step 2 of 2" you will see the clients that you have selected.

        1. Choose the "Full" or the "Light" option in "1. Select client version:"

          1. The "Full" version allows your clients to access the system to view or print their PDF Report that you selected as part of their Batch Job. The Full version also enables clients to have full range use of all the other functionalities that our system has available.

          2. The "Light" version gives your clients access to our White Page version. White Page only allows your client to view the report you selected for them. It does not permit the user to access full functionality and performance reporting located within the Full system.

        2. Select the "Portfolio" you want the client to receive and enter the correct "e-mail" address.

        3. There is a "Compliance Notification E-mail" sample link within the Security Note. If you would like to view sample e-mail, please click here.

The Batch Job screen will be separated into two categories "Active e-mail Job List" and "Active Print Job List". "Active e-mail Job List" displays the job name, the report period you selected, and links to "View", "Edit" or "Delete".

      1. The "View" link gives you a quick view of the batch job that you created. This lists the "Batch Job Name", "Batch Job Type", "Report Period", "Report Type" and "Batch Job Version".

        • Listed in the "Batch Job" is each client that is a part of that job. Next to the ID is a "View" and "Delete" link. When "View" is selected the Report displays for you to view before the client receives the batch. The "Delete" link will delete the client from the Batch Job permanently.

      2. When the "Edit" link is selected, it enables you to make changes to an existing Batch Job that you created. You can select or remove clients, change the report period or transmission of the batch via: e-mail directly to the client or print which is a batch file of all your investors in the same file that enables you to print from a PDF file format.

The "Active Print Job List" has five columns: "Job Name", "Report Period", "Waiting or Retrieve", "Edit" and "Delete". All the columns listed were previously mentioned above and result in the same actions. The "Waiting" or "Retrieve" column is new and is only significant to the Active Print Job List.

      1. "Waiting" lets you know that the job is not yet ready to be generated.

      2. "Retrieve" lets you know that you can retrieve the job when you are ready.

        • To retrieve the job, select the "Retrieve" link located next to the batch job name. The link will display the report where you can either print or save the PDF file.

A "Sent History Log" button is displayed at the bottom left of the Batch Job screen. When you select this link, you will have displayed the Sent History Log screen. Listed in this log are the "Job Name", "Date" (the job was sent), "Time" (the job was sent) and "Job Type" (e-mail or print).

    11. Administration

      1. Report Settings

You can access "Report Settings" from "Administration" below the "Control Center". There are four components in Report settings: "Reports", "Benchmark", "Model Portfolio Rebalance", and "Cost Basis".

        1. Reports

          1. "Set Default Report Setting" allows you to select a specific "Report type" and "Time Period" for the default client report.

When the necessary changes have been made and you have validated all information, click on the "Submit" button located at the bottom of the screen. Click on "Edit Report Settings" to make any changes.

          2. "Set Default Report Package Setting" allows you to select the "Report Package" report's components. There are up to 3 Report Packages available. Some may be customizable and some may be hard coded by your Broker Dealer. You may be allowed to edit the name of the Report Package and/or select the Sort Order of the selected reports and/or select the Content (available reports). Report Package is a PDF formatted report. The length of the Report Package depends on the number of components included here.

Here is a list of the possible components for Report Package:

            • "Cover Page" displays client's name and address, type of Statement that you or your clients will receive, time period that the Statement was generated for, portfolio name, and advisor's name, company and address.

            • Market Commentary

            • Select one of the 'Summary" reports, either Portfolio Summary, or Portfolio Detail.

            • Select one of the "Asset Allocation" reports either "by Asset Type" or "by Investment Objective".

            • Choose one of the "Holdings" reports, either "by Investor", "by Portfolio","by Classification" or "by Net Worth".

            • Select one of the "Transaction History" reports either "by Investor" or "by Portfolio".

            • Choose one of the "Comparative Holdings" reports, either "by Investor", "by Classification" or "by Net Worth".

            • Core Value by Benchmark report

            • Select one or more of the "Cost Basis" reports,

            • You may also have the option to include "Comparative Holdings", "Core Multi-Period Performance", "Portfolio Value and Benchmark", and "Core Model Portfolio Rebalance" reports as part of the Report Package components.

Some of the report components may not apply to your version. Components within the Report Package report are organized in the same order as listed on the Set Default Report Package Settings.

If you do NOT see the "Reports" tab that means the Reports function is not included in your version.

          3. [ << ]     [ Table of Contents ]     [ Close Window ]

        2. Benchmark - Located in the Administration area under the Benchmark tab in the report settings area.

Edit Global/Default Benchmark Setting allows you to select up to two benchmarks or keep both options as "None". The Global/Default setting will be used universally across all your portfolios that do NOT have their own specifically assigned benchmarks.

Create Composite Benchmark allows you to name and formulate your own composite benchmark. You can select up to 20 benchmarks and enter weightings for each selected option. The weighting total must add up to 100% to complete this process.

Composite Benchmark List displays all the composite benchmarks that have been created. You can edit or delete any of the composite benchmarks on this list. A portfolio that has been previously assigned with a composite benchmark that has been deleted will automatically fall back to the Global/Default benchmark setting.

Show only Summary line in report legend will dramatically reduce the amount of data presented in the report legend but will not exclude the line graph from the Portfolio Value and Benchmark Report.

Show Investment Line on report graph allows you to include an additional line item representing the capital invested portion of the portfolio. There are two variants of this: Investments Since Start Date and Beginning Value and Investments.

Selecting this option will add an amount invested line to the Portfolio Value and Benchmark AND Core Summary reports. "Investment" is a cash basis calculation of the cumulative dollar investments during the period. It does not conform to tax-lot accounting rules. Keep the selection as 'No" to exclude this option.

Show Portfolios without Assigned Benchmarks lists all portfolios that are assigned with Global/Default benchmarks. If you need to adjust a portfolio's Benchmark setting, clicking on "Edit" will take you to the "Edit Portfolio" screen.

Show Portfolios with Assigned Benchmarks lists all portfolios that are assigned with either standard or composite benchmarks. The list can be sorted by Portfolio Name, Benchmark Type or Benchmark. Clicking on the Portfolio Name will take you to the "Portfolio Value and Benchmark Report" of that specific portfolio. If you need to adjust a portfolio's Benchmark setting, clicking on "Edit" will take you to the "Edit Portfolio" screen.
          See Benchmark Definitions.

If you do NOT see the "Benchmarks" tab that means the Benchmarks function is not included in your version.

        3. Model Portfolio rebalance - Located in the Administration area under the Model Portfolio tab in the report settings area.

Create Model Asset Type Portfolio allows you to name and formulate your own Model Asset Type Portfolio. You can select up to 20 comparative asset types and enter weightings for each selected choice. The weighting total must add up to 100% to complete this process.

Create Model Investment Objective Portfolio allows you to name and formulate your own Model Investment Objective. You can select up to 20 comparative investment objectives and enter weightings for each selected choice. The weighting total must add up to 100% to complete this process.

Available Model Portfolios lists all the model portfolios that have been created. You will be able to view, edit or delete any of the model portfolios listed here.

Show Portfolios without Assigned Model Portfolio Rebalance lists portfolios that have not been assigned with any Model Portfolio. If you need to adjust a portfolio's Model Portfolio setting, clicking on "Edit" will take you to the "Edit Portfolio" screen.

Show Portfolios with Assigned Model Portfolio Rebalance lists portfolios that have been assigned with either Model Asset Type Portfolio or Model Investment Objective portfolio. The list can be sorted by Portfolio Name, Model Portfolio Type or Model Portfolio. Clicking on the Portfolio Name will take you to the "Model Portfolio Rebalance Report" of that specific portfolio. If you need to adjust a portfolio's Model Portfolio setting, clicking on "Edit" will take you to the "Edit Portfolio" screen.

If you do NOT see the "Model Portfolio Rebalance" tab that means the Model Portfolio Rebalance function is not included in your version.

        4. Cost Basis allows you to efficiently assign a unit cost or total cost to the Initial Position of an asset - typically used for assets that had a history prior to the start date of your data feeds in the system.

If Data Convertor and/or Historical Entry are available, you may use one of those functions to update Cost Basis, rather than using Cost Basis. If they are currently not available, please check with your Broker/Dealer to see if they will be offering them in the future.

Selecting the "Cost Basis" link after clicking on Administration in the Control Center will bring you to the "Cost Basis Client List". Alternatively, this screen will be automatically prompted for you when running the "Cost Basis", Unrealized Gain Loss by Investor" or "Realized Gain Loss by Investor" reports from the reports menu ONLY if the portfolio has not been previously reviewed by you (once you do this the system will not prompt you again).

The Cost Basis Client List allows you to search or sort by Client Name or ID. Selecting "Edit" from the "AVG Cost Assignment" column Cost Basis will display the assignment screen with a list of all assets that have unassigned cost basis for first transactions or display the previously assigned cost that you designated. The list includes all assets that are associated with the client's ID.

Once at the AVG Cost Assignment Screen:

          1. Enter or edit the Unit Cost or the Total Cost for each asset. Previously assigned assets will not have a red arrow in front of them. You should focus on the assets with a red arrow in front of them, even though you can edit any asset you like.

          2. If you do not know the cost basis of a particular asset, you can leave the field blank and when the "Submit" button is selected, the system price for that date will be used instead.

          3. Enter cost basis by typing in the unit cost or the total cost fields. (Do not enter both unit cost and total cost).

          4. By entering unit cost, the system automatically calculates the Total Cost.

          5. By entering total cost, the system automatically calculates the Unit Cost.

          6. By checking the Remove Avg Cost radio button, system will set the cost basis value to null for that particular asset.

Clients will not be able to generate a Cost Basis report for themselves until you have checked the assignment of their assets once.

If you do NOT see the "Cost Basis" tab that means the Cost Basis function is not included in your version.

          [ << ]     [ Table of Contents ]     [ Close Window ]

Cost Basis Method allows you to select from four accounting methods for your clients. The accounting method is used to calculate your client's realized gain/loss.

FIFO (first-in first-out) uses the cost of the first buy forward to calculate the realized gain/loss of the first sale forward.

LIFO (last-in first-out) uses the cost of the last buy backward to calculate the realized gain/loss of the first sale forward.

AVG Cost takes the average unit cost of all buys when calculating the realized gain/loss for sales.

Specified Lot (coming soon) denotes that each closed lot is associated with one or more open lots as dictated by the user (assigned) or source system (delivered).

          1. Accounting methods can be selected for all your clients by using the Global Method Assignment section.

          2. You also have the option to select an accounting method specifically by individual accounts. This can be done in the "Account Specific Method" section of the "Cost Basis" screen. Select "Edit" from the "Method" column for the Client you wish to assign a specific methodology to.

Once you assign a methodology specifically to an account, global changes will no longer affect that account.

When an accounting method is changed more than once, a flag is raised for your Home Office's Audit report.

      Core Value and Benchmark Report

The Core Value and Benchmark report is a Time Period report for Core Accounts only. It uses a line graph to compare a portfolio's value either by itself or against one of the selected benchmarks (Global/Default, standard or composite benchmark). The interval on the graph is automatically set. If the report period is <=31 days, the graph and report legend data will break down to Daily; if the report period is >=32 and <=93 Days, we will classify the graph and report legend data to Weekly; if the report period is >=94 and <=364 Days, the graph and report legend data will break down to Monthly; if the report period is >=365 Days, the graph and report legend data will break down to Quarterly. Assets held in Balance, Manual and External Accounts are excluded from this report.

The benchmarks are adjusted by the buy and sell activity occurring in your account to allow for a direct comparison.

The legend located below the graph will show the Combined Account Portfolio performance Rate-of-Return (ROR) compared to the return of each benchmark over the Time Periods. If the "Show only Summary line in report legend" was checked for "Yes" in Administration (Report Settings - Benchmark), the report will exclude period performance in the report legend. The type of Benchmark that is applied here is prearranged through Portfolio creation. The benchmark selection can be modified through Edit Portfolio. Administrator will have the ability to modify the high level aspect of Benchmark setting from the Report Settings segment in Administration.

The Core Value and Benchmark report graph may include a total investment line chart, which shows an additional line item representing the capital invested portion of the portfolio.

Investments Since Start Date - Calculates the sum of all cash flow affecting transactions since the beginning of the account history to the beginning value of the report period. The benefit of this method is that the line represents a true measure of the client's total invested funds. The graph illustrates the result of the advisor's investment decisions relative to capital investment by the client.

Beginning Value and Investments - The beginning value of the "Beginning Value and Investments" Line is pegged to the beginning value of the portfolio total. It is then adjusted through the graph in the same way as "Investments Since Start Date" by adding subsequent capital flows at each interval. The benefit of this method is that the graph can illustrate how much of the portfolio change for that period is a reflection of the market vs. capital changes.

The ROR for the "Since Start Date" period will be annualized if the time period is for more than one year. If the portfolio has distinct Cash/Margin assets, the ROR displays as a part of the Net Equity calculation. Assets held in Balance, Manual and External Accounts are excluded from this report.

      Gain/Loss By Investor Report

The Gain/Loss By Investor Report (formerly known as Cost Basis Report) displays cost basis information, realized and unrealized gain/loss information on an asset level from inception to the selected date of the report. Realized gain/loss information will be displayed for the calendar year chosen, showing all assets liquidated that year up to the selected report date. Unrealized gain/loss information is based on the date the user designates the report to be run. Cost basis is based on the price at which the security was purchased adjusted for Asset ID changes, stock splits, dividend reinvestments, withholdings and return of capital. The Realized amount shows what profit or loss was incurred due to sales that occurred during the calendar year. The Unrealized amount is based on assets that are still owned as of the report date. The Unrealized and Realized amounts are totaled for each asset. If the portfolio has distinct Liability assets, the Account level sub-total now displays the Liability asset(s) description along with the summed value. The Investor and Portfolio sub-totals display "Liability Balance" and the summed value. Below the Liability Balance for account level and investor level is Account Net Equity for account level and Investor Net Equity for investor level. Balance, Manual and External Account's Realized and Unrealized Value will be N/A on this report. Cost Basis Source (Tax Lot (M), Tax Lot (S), AVG Cost Assignment, Whole History and Incomplete Information) is shown for each Account depending on Privilege Level. Initial Lot Date is not shown for AVG Cost Assignment and Tax Lot (S).

When running the Gain/Loss By Investor Report, you will automatically be sent to the "AVG Cost Assignment" screen if the portfolio has not been previously reviewed by you and cost basis has not yet been assigned for all assets. You may also use the Historical Entry function (if available) to update cost basis information.

      Core Summary Report

The Core Summary Report is a condensed version of the Statement Report. It is a Time Period report. This report combines several essential report components such as: Portfolio Summary, Cost Basis, Multi-Period Performance, Portfolio Values and Benchmark, Asset Allocation by Investment Objective, and Asset Allocation by Asset Type. The Portfolio Summary has five categories: Since Start Date, Last Calendar Year, Year to Date, Last Calendar Quarter and Selected Period. Cost Basis information lists the Realized and Unrealized Gain or Loss; however, this portion of the report will be omitted if cost basis is missing and waiting to be assigned. Performance by Account breaks down the Multi-period Performance Report to the account level. The rate of return for each account includes: Since Start Date, Last Calendar Year, Year to Date, Last Calendar Quarter and Selected Period. Asset Allocation by Investment Objective may condense the number of Investment Objectives by combining the smallest ones into one Objective called "Other". This is due to space limitations built into the report. Your Broker Dealer may have replaced Investment Objective and/or Asset Type in the report fields with a different description of their own choosing. In the Portfolio Summary section, the Net Contribution amount is a summary of all cash flows in the account for the specific time period indicated. This report only contains Core Accounts and cannot be included in the Report Package Report.

      [ << ]     [ Table of Contents ]     [ Close Window ]

Cash - Your Broker Dealer have the option of combining cash and money market balances on reports. If elected, the Cash and Money Market balances would be combined. The net result will display as the "Cash" balance of the account. So if account A has -$500 of cash and $1200 of Money Market, the new "Cash" balance would be $700 (and Money market would not show up at all).

Liability - Any asset (except Cash and Margin) with a negative balance throughout the report period will qualify as a "Liability". Cash and Margin balances within Brokerage accounts will not qualify as "Liabilities" on reporting even if the balances are negative.
